Embarking on a custom manufacturing project can feel like a complex journey, especially from thousands of miles away. You have a vision for the perfect backpack, but you might also have questions: What are the exact steps? How is quality guaranteed? When do I need to provide information?
At KaliBag, we believe that a transparent process is the foundation of a great partnership. With over 16 years of experience in exporting backpacks worldwide, we have refined our workflow to be as clear, efficient, and client-focused as possible.
This guide will walk you through our entire collaboration process, step by step, so you know exactly what to expect when you partner with us.
Our Collaborative Journey: 11 Steps to Success
Step 1: Your Initial Inquiry
This is where our journey begins. You reach out to us via our website, email, or a trade platform with your initial idea. Whether you have a detailed “tech pack” or just a basic concept, we’re ready to listen.
- What we do: Our dedicated account manager will acknowledge your inquiry within 24 hours and ask any initial clarifying questions.
- What you do: Provide as much initial detail as you can—product type, estimated quantity, target market, and any specific requirements.
Step 2: In-Depth Requirement Communication
This is the most critical stage. Your dedicated account manager will work closely with you to understand every detail of your vision. We’ll discuss materials, dimensions, features, branding, target price, and compliance needs. Our goal is to become an extension of your team.
Step 3: Detailed Quotation
Based on our discussion, we provide a comprehensive, transparent quotation. This is more than just a price; it’s a detailed breakdown that typically includes:
- Unit price based on quantity (FOB, EXW, etc.)
- Detailed material and hardware specifications
- Sampling costs and lead time
- Estimated mass production lead time
- MOQ (Minimum Order Quantity)
Step 4: Sampling & Confirmation
Seeing is believing. We create a physical pre-production sample based on the agreed-upon specifications. This is your opportunity to touch, feel, and test the product before committing to a bulk order.
- What we do: We build the sample with the utmost care, ensuring it is a precise representation of the final product.
- What you do: You review the sample thoroughly. We welcome your feedback for any final adjustments. Your formal approval of this “golden sample” is the green light for mass production.
Step 5: Signing the Proforma Invoice (PI) / Contract
With the sample approved, we formalize our agreement. We issue a Proforma Invoice or a formal contract that outlines all the terms of the order: final product specifications, quantity, price, delivery schedule, and payment terms.
Step 6: Deposit Payment
To secure raw materials and schedule your order on our production lines, a deposit is required (typically 30-50%). We accept various payment methods for your convenience. Your payment is the official start of the production countdown.
Step 7: Mass Production
This is where your vision comes to life at scale. Our production team takes over, following the specifications of the approved sample to the letter. Your account manager will keep you updated on the progress and can provide photos or videos from the production line upon request.
Step 8: Rigorous Quality Inspection (QC)
Quality is not an afterthought; it’s embedded in our process. Our in-house QC team conducts multiple inspections:
- IQC (Incoming Quality Control): Inspecting raw materials before they enter production.
- IPQC (In-Process Quality Control): Monitoring quality at various stages on the assembly line.
- FQC ( Quality Control): A thorough final inspection of every finished unit based on AQL standards before packing.
We also welcome you to hire a third-party inspection agency to conduct their own review at our factory.
Step 9: Balance Payment
Once production is complete and has passed our quality control, we will notify you. We will provide a detailed packing list, and this is when the final balance payment is due before shipment.
Step 10: Shipping & Logistics
Getting your products to you safely and on time is our final operational task. We can handle all the logistics according to the agreed-upon Incoterms (e.g., FOB, CIF, DDP). We work with reliable freight forwarders to manage everything from factory pickup to customs clearance and final delivery, providing you with all necessary tracking information.
Step 11: After-Sales Support
Our partnership doesn’t end when the goods arrive. We stand behind our products. Once you receive your shipment, we are here to answer any questions or address any concerns. Your long-term satisfaction is our ultimate measure of success.
